SUMMARY OF POSITION: Oversees the daily operations of the Municipal Court; managing and maintaining cases, and the preparation of dockets. Performs a variety of public assistance and public information, cashiering, accounting, receipts of payments, and clerical activities related to the city’s Municipal Court. Makes daily, weekly, monthly, and quarterly reports to City and State Officials. Interprets laws and procedures to subordinates and the general public.

Other: Has frequent contact with the general public, other departmental employees, legal officials, and law enforcement officers.
EXAMPLES OF DUTIES:
- Answers, resolves, and provides information for the most complex issues relating to daily operations of the Municipal Court.
- Ensure that court systems, procedures, and practices comply with applicable laws, regulations, and administrative orders; Research, evaluate and make recommendations regarding the impact of new legislation on court processes and procedures.
- Timely prepares various reports to the City, State, and Comptroller by compiling information, preparing and reviewing reports for accuracy, generating statistical reports, and distributing reports to the appropriate agency.
- Prepares and processes correspondence relevant to complaints, citations, and judgments, including DSC/DD requests, payment extension, late notices, and resets, juveniles using Incode 9 court document templates, and Standing Orders.
- Maintains and manages cases for the Court by overseeing the progress of cases, reviewing case files for accuracy, monitoring the court calendar for the proper flow of cases, setting additional dockets when needed and incorporating legislative updates into cases.
- Performs general receptionist duties, typing, filing, including answering incoming phone calls, providing information and directing callers as necessary.
- Processes mail and assist walk-ins and defendants contacting the Court daily.
- Calculate court costs/fees and fines.
- Process payments and set-up extensions of time to pay and/or payment plans; as requested by defendent.
- Oversee the collection, posting, and deposit of all fines, costs, fees, and bond payments; Run Cash Bond Report; monitor and apply refunds, payments and non-cash credit on pending cases.
- Accurately clears active warrants when required. Prepares and processes new warrants and forward to Williamson County Sheriff’s warrants division.
- Facilitates monthly court sessions, including completion of appropriate post-trial documentation; forwarding appeals to County Courts and the mailing of notices to the defendants.
·Updates detailed case files, maintaining up-to-date, correct court records, including status changes, adding clerk comments, and address changes;
- Processes citations and warnings daily, complaints, and prepare court jackets.
- Inform defendants of Municipal Court procedures.
- Attend and participate in professional group meetings, training classes, and seminars; stay abreast of new trends and innovations in the field of municipal court administration and other areas in which the position regularly deals.
- Regularly audit court documents, Incode 9 macros, fine and fee amounts, and statute-offense relationships and update when necessary.
- Send Pre-Trial court dockets, videos, complaints, process plea deals and requests for case information from the prosecutor and any other required paperwork to the prosecutor before each Pre-Trial hearing.
- Process expungements from Williamson County
- Process Appeal Bonds from attorneys; send all required documentation to Williamson County court
- Prepare, maintain, and monitor the Municipal Court department budget.
- Contact and update jury pool and summoning for trial.
- Manages all Juvenile cases.
- Maintain, file, destroy records according to records retention laws.
- Set up and monitor virtual meetings.
- Perform related duties as assigned.
KNOWLEDGE OF:
- Principles and methods of record keeping and report writing.
- Legal terminology; local court rules; Municipal Court Procedures, Public Information Act.

- Modern offices practices, procedures and computer equipment.

·Safety/Physical Requirements: ability to lift/carry twenty-five (25) pounds of material, bending stooping and reaching as needed to file; sitting stationary for extended periods of time.
EXPERIENCE AND TRAINING:
- High School Diploma or equivalent.
- Must be able to obtain Notary Public Licensure.
- Must be bondable.
CERTIFICATES AND LICENSES REQUIRED:
- Valid Texas Driver’s License and a driving record which meets current City insurance liability requirements or available alternate means of transportation.
- Municipal Court Clerk Certification Level 1 required or must obtain Municipal Court Clerk Certification Level 1 within 2 years of hire
