Municipal Court Clerk
Job Summary
The City of Bruceville-Eddy, a Type A General Law City, is seeking an experienced and motivated administrative professional to join our team in service as our Court of Record’s Municipal Court Clerk. Under the general supervision of the City Administrator, the Court Administrator, and the Municipal Judge, this position performs a variety of duties related to the function and operation of the Municipal Court.
Scope of Work
The Municipal Court Clerk performs all administrative functions of a single-person court staff, working with the legal community, City Prosecutors, and Judges. Position is highly visible and involves contact with the general public; deals with sensitive and confidential issues, and occasionally involves conflict, requiring considerable judgment and tact.
Essential Duties and Responsibilities
- · Maintain and apply knowledge of municipal laws, policies, codes, and regulations.
- · Promptly respond to questions and concerns from staff, defendants, prosecutors, attorneys, and the Municipal Judge.
- · Has custodial authority of all Court records, directing their maintenance and disposition in accordance with records retention schedules filed with the Texas State Library and in accordance with the Texas Open Records Act, Chapter 552, and the Texas Code of Criminal Procedures.
- · Generates and maintains court and business documents: letters, invoices, policies, reports, spreadsheets, correspondence, messages, emails, and faxes.
- · Update case files in the Court’s software system as contact is made with defendants, prosecutors, defense attorneys, and the Municipal Judge.
- · Secures information for the judge; contacts witnesses, attorneys, and litigants to obtain information for the court; instructs parties when to appear in court.
- · Collects court fees or fines and records amounts collected; balances daily funds collected, prepares deposits, and assists in the safekeeping of cash assets.

RequiredEducation and/or Experience
- · High School Diploma or equivalent required
- · Previous experience as a Court Clerk is preferred, but not required
- · Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
Knowledge of:
Customer service practices and techniques.
General knowledge of applicable laws, ordinances, and regulations, as well as the functions and activities of a Municipal Court of Record.
Record retention procedures and best practices.
Strong document management and editing skills.
Modern office equipment and technology.
Skills and Abilities:
Effective oral and written communications.
Resolving complaints and concerns with a high degree of professionalism and a commitment to excellence.
Detail-oriented individual; able to prioritize work while managing multiple tasks.
Self-Starter where little supervision is required to accomplish tasks.
Proficient in maintaining accurate records of official city business and understanding city codes.
Ability to type at least 45 words per minute and maintain clerical records with precision and accuracy.
Demonstrated ability to handle cross-functional responsibilities when necessary.
Ability to establish and maintain effective working relationships with city officials, employees, attorneys, other government agencies, and the public.
Ability to adapt well to change, prioritize duties, and meet competing deadlines.
Handle confidential matters with discretion.
LICENSES AND/OR CERTIFICATIONS
- · Possession of a valid Texas Class C driver’s license.
- · Public Notary or ability to obtain within 3 months of hire.
- · Texas Level I Court Clerk Certification or ability to obtain within 12 months of hire
- · Preference given to individuals already possessing one or more of the listed licensing/certification requirements.
PHYSICAL DEMANDS / ENVIRONMENTAL FACTORS AND CONDITIONS
Work is generally performed in an office setting.
Must be able to lift up to 50 pounds.
Has frequent contact with employees, citizens, defendants, attorneys, and local, state, and federal agencies.
